How it works

From first conversation to live workspace

No long implementation project. The parts that take time are the ones that should: checking who we are selling to, and getting your own data in properly.

  1. 1

    Talk it through

A half-hour walkthrough on your own headcount and pay cycle, so you see the product doing your work rather than a generic demo.

  2. 2

    We check who you are

Before your tier is approved we ask for company registration, proof of address and photo ID for the account owner. We hold payroll and personal data for your staff; handing that to an unverified sign-up would be the first thing an auditor asked us about.

  3. 3

    Your workspace is built

A separate PostgreSQL database, your own subdomain, your reference data seeded, and your account owner created as the first super admin with a one-time password.

  4. 4

    Set up your security

Everyone replaces their temporary password and sets a Financial Security PIN on first sign-in. The PIN is a second gate on payroll, bank details and the credentials vault — not a second password for everything.

  5. 5

    Bring your data in

Employees, departments, attendance history, holidays and pay items import from CSV. Every import is validated in a dry run first and tells you which row is wrong before anything is written.

  6. 6

    Shape the permissions

Roles and permissions are yours to edit. The menu is built from the permission map, so what somebody can see and what they can do never drift apart.

  7. 7

    Run it

Payroll takes three roles, a bank-account change takes three different people, and everything lands in an audit trail that can be verified rather than trusted.

What we ask for, and why

Four documents, reviewed by a person. Nothing is stored that we do not need, and each one is kept only while it is current.

Certificate of incorporation or company registration

Required

The registration document for the company that will be billed.

Proof of business address

Required

A utility bill, bank statement or lease dated within the last three months.

Photo ID of the account owner

Required

Passport or driving licence of the person who will administer the workspace.

VAT registration certificate

If it applies

Only if the company is VAT registered, so the invoice can show the number.

And if you leave

Lapsing is not deleting. When a subscription period ends your workspace keeps working for 7 days. After that, access is withdrawn and nothing is removed — paying again restores it as a single status change.

If you decide to go, we take a verified dump of your database, prove it can be read back, and only then take the live workspace out of service. You get the data by single-use download link, in standard PostgreSQL custom format that any Postgres can restore — not an export format only we can read.

The kept copy is destroyed after 60 days, and we send one last download link before that happens. Destroying somebody's only copy of their own records without telling them is not a retention policy.
